Start with the date.
Fill in what you know. Anything still undecided can be left blank, we would rather see an early brief with gaps than a perfect one after the date is gone.

What happens next
Four steps, no chasing
- Availability. We confirm whether the date is free.
- Scope call. Twenty minutes to settle format, platform and crew size.
- Written quote. Itemised, with travel shown separately.
- Technical survey. Booked once the date is held.
No hard sell, and no follow-up sequence if the answer is no.
Common questions
Before you get in touch
How far in advance should we book?
For a single-camera photography day, a few weeks is usually workable. For anything streamed, aim for six to eight weeks so the technical survey happens before your venue contract and AV package are locked. Late enquiries are still worth sending, we will tell you straight away if the date is gone.
Can you work with our existing AV supplier?
Yes, and it usually makes for a better result. What we need from them is a clean audio feed from the desk and a programme feed of the slides. We will speak to them directly during the survey so you are not relaying technical questions between two suppliers.
What happens if the venue internet fails?
We do not rely on it alone. A streamed event runs on a wired venue line where one exists, with a bonded mobile connection as failover, and the full programme is recorded locally at the same time. If the worst happens and the stream drops, you still have a complete recording to publish.
Do you charge travel outside London and Leicester?
Travel and accommodation are quoted as a separate, visible line rather than folded into the day rate. Midlands and near-London dates are usually a straightforward drive. Further afield we will tell you honestly whether an overnight stay is needed for the call time.
Who owns the footage and the photographs?
You get a full commercial licence for the use we agree in the quote, covering your website, social channels, press and internal use. Specific requirements such as paid advertising or a buyout can be written into the agreement, just raise it at quote stage rather than afterwards.
Can you photograph delegates who do not want to appear?
Yes. Give us the mechanism you use, usually a different lanyard colour or a badge sticker, and we will brief every crew member on it before doors. For photo booths we can also set consent wording you control on the capture screen.
Next step
Tell us the date and the room
Send the date, the venue and roughly how many people are in the room. We will come back with whether we are free, what the right crew size is for that programme, and a written quote you can put in front of finance.
