Corporate headshots: what a UK team day actually costs
Corporate headshots are usually the first thing a company budgets for once it decides to update its people pages, its LinkedIn profiles or its internal directory, and the first question is almost always the same: what does a UK team day actually cost. The honest answer depends heavily on how many people you are photographing in one sitting, because headshot pricing in the UK is built around group size in a way that few other photography services are.
What actually drives corporate headshots cost on a team day
Before the per head number, a few practical factors decide the total.
- Number of people booked in. This is the single biggest factor, and it does not scale in a straight line, which is covered below.
- On location versus studio. Shooting in your own office needs a lighting and backdrop setup built and struck on site, which takes longer than working in a studio that is already rigged.
- Single site versus multiple offices. A team spread across two or three offices either means the photographer travels between them or you run separate bookings, each with its own setup time.
- Retouching level. A light edit for consistent colour and exposure is standard. Extensive retouching per image is a separate, per photo cost.
- Turnaround. A standard turnaround costs less than an express one, because express work means editing gets prioritised over other bookings.
- Additional images per person. Most sessions include one final edited image per person as standard, with further options costing extra per image.

It is also the practical argument for booking everyone on one day rather than trickling people through individually over several weeks, since each individual session effectively pays for its own setup all over again.
The lights cost the same to set up for five people or fifty, so the person who benefits most from a team day is whoever books last.
The extras that change the total
The headline price band covers one edited image per person as standard. A few common additions sit outside that:
- Additional edited images. Typically £15 to £40 per extra image, for anyone who wants a couple of options rather than one final shot.
- Extensive retouching. Beyond standard colour and exposure correction, detailed retouching per image typically runs £40 to £80.
- Express turnaround. A 72 hour turnaround, rather than the standard delivery window, typically adds 15 to 30 per cent to the total.
None of these need to catch you out. Ask for them to be itemised in the quote rather than assumed as included, particularly retouching level and how many images per person are actually covered by the headline price.
Planning a UK team headshot day that does not eat the office
The other cost that rarely appears on a quote is staff time, and it is worth planning for even though it never shows up as a line item. A typical slot per person runs a few minutes once the lighting is set, but the queue slows down fast if people arrive without knowing what to expect. A short internal note beforehand, covering what to wear, whether to bring a change of clothes for different roles or brands, and roughly when their team is scheduled, keeps the day moving and stops a 25 person booking from quietly running into a third hour.
- Book in blocks by department or floor, rather than an open queue, so people are not waiting at their desks all day.
- Ask for plain, solid coloured clothing and avoid busy patterns, which tends to matter more on camera than people expect.
- Confirm whether the backdrop and lighting will match any existing headshots you are replacing, if you want a consistent look across old and new starters.
- Agree the delivery format upfront, since some teams need images sized for a company intranet, a careers page and LinkedIn all at once, and that is easier to plan for than to request after the fact.
